Official Purchase Order & Payment Verification Notice

1. Purpose of this notice

This notice exists to protect our clients, vendors, and partners from fraudulent purchase orders, invoices, or payment requests that falsely claim to originate from Terra Systems. Business Email Compromise (BEC) and invoice fraud are increasingly common — this page sets out exactly what a genuine request from us looks like.

2. How to recognise an official Terra Systems purchase order

A genuine purchase order, payment instruction, or invoice issued by Terra Systems will always:

  • Originate from an email address on the official @terra.systems domain — specifically from our Finance function
  • Be approved by an officer authorised to act on behalf of the company, as listed in Terra Systems' official ACRA-issued Business Profile

Terra Systems' current list of authorised officers can be independently verified by any party via our company's Business Profile, obtainable through ACRA's BizFile+ portal (bizfile.gov.sg), UEN: 200304779D.

3. Warning signs of a fraudulent request

Treat any of the following as a strong warning sign, and do not act on the request until you have independently verified it:

  • The email comes from a domain that is not exactly "@terra.systems" (including close look-alikes, free webmail addresses, or slightly misspelled domains)
  • A request to urgently change bank account or payment details
  • Pressure to bypass your own organisation's normal verification or approval process
  • A purchase order or invoice that has not been countersigned by an authorised officer as described above

4. If you are unsure

Before acting on any purchase order, invoice, or payment instruction that appears to be from Terra Systems and you are not certain of its authenticity, please verify it independently through our official contact form before making any payment or sharing sensitive information. Do not reply directly to the suspicious email, and do not use any contact details provided within it.

5. Limitation of liability

Terra Systems shall not be held responsible for any loss arising from payments made to fraudulent or unauthorised parties, where the verification process described in this notice was not followed.

6. Reporting suspected fraud

If you believe you have received a fraudulent communication purporting to be from Terra Systems, please report it to us via our contact form, and consider reporting it to the Singapore Police Force via the ScamShield portal.
